General Information:
Western Oregon University in Monmouth is seeking an experienced and
dedicated professional with donor database system experience to serve as
the Director of Systems Management & Prospect Research. This is a
12-month, full-time, annually renewable position and reports to the
Director of Annual Fund.

Position Requirements:
A bachelor’s degree and one year of supervisory experience is required.
Qualified candidates must have the ability to plan, coordinate, and
implement projects and be capable of working on several projects
simultaneously. Excellent written and oral communication skills with an
ability to work well independently and as a team with other staff,
faculty, volunteers, and students is necessary. Applicants must have
exceptional analytical skills and the ability to locate and interpret
financial and biographical information from a variety of sources, with
particular attention given to detail and accuracy. Knowledge of query
language (SQL) and database systems and file structures is required.
Proficiency with personal computers and office software applications,
specifically excel, is also required.

Preferred Qualifications:
Preference will be given to candidates with donor database system
experience, such as Viking Development System. Two years experience in a
fund-raising environment, especially in the area of major gift prospect
management or equivalent and two years of prospect research and/or
prospect management experience particularly in an academic environment
are also preferred.

Duties and Responsibilities:
SYSTEMS MANAGEMENT

Maintain and update constituent database integrity, working with the
University Registrar to obtain current contact information for graduates

Produce and develop financial, campaign, and stewardship reports

Generate direct mail solicitation lists, segmented phonathon data files,
and giving club renewal lists for university development staff

Maintain system software for University Advancement to ensure database
integrity, verifying and auditing data for accuracy

Train university staff to use the Viking Development System

Work with University Computer Services regarding programming needs

Serve as primary contact between University Advancement and Viking
Customer Service

PROSPECT RESEARCH PROGRAM

Direct WOU’s prospective donor research program, including research,
analysis, and prospect management and tracking

Provide strategic leadership and develop short- and long-term plans and
benchmarks for prospect research program, developing strategies for
quality improvement in both services and communication with clients and
partner departments

Develop and recommend strategies for fund raising campaigns,
participating as a vital member of the Major Gifts team

Direct the development and maintenance of major prospects module of
constituent database, responsible for training end-users

Implement projects and strategies to identify and qualify potential
prospects, including electronic and peer screenings as well as data
modeling and mining

Establish prospect management and tracking procedures, developing and
producing prospect pool analysis reports

Responsible for acquisition of new research resources and technologies

Conduct in-depth biographical and financial research and analysis, when
necessary, using a wide variety of resources including public documents,
periodicals, databases, and professional contacts.
