Prospect Management Specialist ? University Development

The Prospect Management Specialist has primary responsibility for developing and maintaining prospect management and tracking systems to support and maximize major gift fundraising. The Prospect Management Specialist will spend approximately .5 FTE on prospect management and tracking, and .5 FTE on prospect research tasks including biographical, philanthropic and financial research. This position reports to the Director of Advancement Services and works closely with the Research Analyst. The primary clients of Advancement Services are University Development, constituent development officers, and Alumni Relations.

? Coordinate prospect management and tracking efforts to support and maximize major gift fundraising efforts.
? Enter and maintain accurate prospect tracking data in the constituent database.
? Create prospect management reports including monthly tracking reports and prospect lists.
? Conduct regular portfolio reviews and strategy meetings with major gift officers.
? Maintain strong relationships with major gifts staff to promote data-driven major gift fundraising.
? Train and advise staff on navigating the constituent database and best practices in prospect management.
? Develop prospect tracking processes and policies that align with and support Portland State?s fundraising processes, including a comprehensive reference and training manual that is specific to Portland State.
? Develop data audits; business practices; and coding and field use improvements to enhance data integrity and data entry efficiency.
? Conduct prospect rating projects.
? Manage creation of concise and accurate briefings for Executive Staff.
? Identify, research and analyze prospective and current donors, including biographical, philanthropic and financial research.
? Hire, train and supervise student employees.
? Safeguard the confidentiality of constituent records, adhering to the Family Educational Rights and Privacy Act (FERPA) and the Association of Professional Researchers for Advancement (APRA) Code of Ethics.
? Other projects as assigned.

? Minimum of two years experience with computer systems and the Microsoft Office suite of products, including intermediate to advanced knowledge of Excel.
? Familiarity with relational databases.
? Excellent verbal and written communication skills.
? Good interpersonal skills and ability to work in a team with diverse individuals.
? Excellent analytical skills and knowledge of research techniques.
? Flexible and self-directed.
? Strong organizational skills and ability to prioritize projects.
? Must be able to successfully complete a background check.

? Experience in a fundraising office and/or higher education administration, particularly prospect research or prospect management experience.
? Experience with Agilon?s ONE database.
? Supervisory experience.
? Bachelor?s degree.
? Deep appreciation for the mission of Portland State University.

The starting annual salary rate for this position will be between $30,000 and $40,000, dependent upon qualifications and experience, with an excellent benefits package including fully paid healthcare; a generous retirement and vacation package; and reduced tuition rates for employee, spouse or one dependant at any of the Oregon University System universities.
