Associate Director, Prospect Management
Development Office (9903)
In partnership with the Director of Prospect Development, work to develop strategies and programs to build an effective pipeline of potential donors to the University. Leverage a broad and deep understanding of fundraising metrics to direct efforts to provide information that supports the management of prospects through the development cycle. Oversee processes for ensuring that the best prospects are actively managed by Development Officers (DOs). Liaise with prospect research team members as needed to deliver capacity analysis and wealth profiles of key portfolio prospects.
Assume the lead role in managing prospect management staff and developing a standard curriculum, policies, and processes for Prospect Management, including: developing guidelines for conducting portfolio and pipeline analysis, assessing fundraising performance, and managing affinity ratings; developing training materials for new prospect management analysts; and developing tracking and reporting processes for the management of internal prospect management metrics.

Duties & Responsibilities
Supervisory responsibilities include the hiring, training, and management of prospect management analyst(s) and possibly student workers. This includes conducting annual performance reviews as well as being an ongoing resource and mentor for prospect management staff. Delegate appropriate work and projects to employees based on their skill sets, knowledge, and experience. Provide guidance and direction for appropriate professional development activities.
Essential Functions/Major Responsibilities:
*Strategize and partner with prospect management staff, prospect research colleagues, VPs, and DOs to support the development of high-capacity portfolios.
*Analyze fundraising activity to support DOs in identifying top prospects and suspects. As needed, partner with UDP leadership to recommend the recalibration of DO portfolios to maximize performance and elevate the highest priority prospects for management. Manage and train prospect management staff to do the same.
*Advise and report to UDP leaders and other managers on the status of fundraising strategies, activities, and progress.
*Oversee and modify (as necessary) U of A Prospect Management Policy & Process Guidelines.
*In partnership with the Training & Information Engagement team, build standard prospect management query templates, dashboards, and system reports in Raiser's Edge for DOs to access, as common business needs are identified. Also act as a Raiser's Edge prospect management subject matter expert to inform the design and continued implementation of a prospect management training program for DOs and their support staff.
*Manage and/or respond to all prospect research-management support requests that are directed to the team. Delegate tasks as needed to prospect management analyst(s).
*Participate in the administration and configuration of the prospect management components of the Raiser's Edge system. Provide regular quality checks and audits as needed to ensure the quality of prospect, assignment, action, and proposal data.
*Using Raiser's Edge or other software (Excel, Access, and/or Tableau), produce regular management reports as needed that track the general quality of prospect and suspect pools, portfolios, and metrics.
*Assist the Director in setting short and long-term goals and priorities for the prospect management (moves management) program.
*Take the lead on special projects as needed. Topics may include: identification of future leadership prospects and board nominees, regional market analyses, peer benchmarking studies, investigation of additional research resources, and liaising with outside consultants and vendors.
*Assist the Director of Prospect Development in setting short and long-term goals and priorities for the prospect management program.
*Manage the prospect management team and program: Conduct all prospect management staff annual performance evaluations; delegate appropriate work and projects to staff based on skill sets, knowledge, and experience; provide guidance and direction for appropriate professional development activities for prospect management analyst(s).
*Maintain proficiency with standard prospect management resources (electronic, print, and other) and stay abreast of new resources and technologies to ensure that the department's research resources meet industry standards. Manage and train prospect management staff to do the same.
*Seek opportunities for professional development that will enhance job performance. Develop and maintain a network of contacts with other prospect management professionals nationwide. Manage and train prospect management staff to do the same.
*Safeguard the confidentiality of constituent information at all times. Establish, disseminate, and regularly review standards of ethics and confidentiality regarding the handling of donor and volunteer information and train prospect research staff and colleagues to understand/implement these standards. Adhere to ethical and confidentiality guidelines of both the Foundation and the Association of Professional Researchers for Advancement (APRA).
*Perform additional duties as assigned.
Knowledge, Skills, & Abilities
*Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the Foundation/University as well as the technology tools available to University of Arizona Foundation, including The Raiser's Edge (the development system), a Microsoft Windows computer environment, and the Microsoft Office suite (including Microsoft Outlook, Word, Excel, PowerPoint and Access required).
*Knowledge of or ability to learn quickly the principles, practices, developments, and techniques of managing a prospect management program (including prospect management staff) in a complex fundraising and development operation, including an understanding of how prospect research information is integrated into those operations.
*Proficiency with query and analysis techniques and tools used to modify, retrieve, manipulate, and report on information stored in relational database management systems.
*Skill in establishing and maintaining effective working relationships, including the ability to communicate effectively. Strong commitment to customer service required.
*Strong verbal and writing skills, high attention to detail and follow-up, and excellent organizational skills required - including the ability to set priorities and manage several projects simultaneously.
*Ability to manage confidential information with discretion and tact required.
*An exceptional work ethic and track record of personal initiative required.
*Must be flexible and adaptable to new programs in an emerging and changing environment.
*Bachelor's degree or higher and a minimum of five (5) years of professional work experience - with at least three (3) years in development research; AND,
*Proficiency in doing research using a variety of online research databases and other resources; AND,
*Strong understanding of financial principles and business practices; OR,
*Any equivalent combination of experience, training and/or education approved by Human Resources.
*Master's Degree in a related field (Business Administration, Social Sciences, Library & Information Science, Non Profit Management, etc.) desirable.
*One or more years of experience using The Raiser's Edge, version 7.
*Three (3) or more years of experience working in a higher-education development role.
*Experience working closely with frontline development officers.
*Demonstrated experience leading a project team, acting as a lead, and mentoring or managing colleagues.
